Contact us at the email below about this policy or your personal data. ## Information we process We process your email address, optional name and profile photo, password hash, authentication and password-reset records, sport workspace, and the lists, plans, tactics, descriptions and images you choose to store. If you use Apple sign-in, we also process the identifier and account information Apple supplies. Requests to our service and storage providers can include technical information such as IP address, browser information and server logs. ## Why we use information We use account information and coaching content to provide the service you request, authenticate you, synchronize your work and recover access to your account. This processing is necessary to perform our contract with you. We rely on legitimate interests to protect the service, diagnose faults, respond to support enquiries and understand use of its features. Where consent is required for a separate purpose, we will ask for it and you may withdraw it without affecting earlier lawful processing. ## Product analytics When analytics is configured, we record events such as opening, creating, copying or deleting content, together with feature metadata. Account identifiers are transformed into a sport-specific keyed hash before they enter the analytics database. These records are pseudonymous, not anonymous. The server analytics implementation does not set analytics cookies. You may contact us to object to processing based on legitimate interests. ## Storage on your device The web app uses browser local storage for sport-specific access and refresh tokens, board preferences, and Quick Boards you explicitly save on that browser. Authentication storage supports sign-in and native-app handoff. A Quick Board stays on that device until you save it to a list. Logging out clears the active sport’s authentication tokens; clearing site storage also removes local boards and preferences. We do not set website tracking cookies. ## Shared and featured content Lists are private unless sharing or featuring is enabled. Anyone with a shared-list link can view the list and its plays without an account. Content selected for Explore is public. Other coaches may copy accessible featured content into their own workspace; those copies are independent of the original. Do not include confidential information or unnecessary personal information about players, especially children, in content you share. ## Service providers Service providers process information needed to operate Pocket Coach. They include database and application hosting, Amazon Web Services for board snapshots and profile images, our configured email provider for account recovery, and Slack for operational notifications where configured. If you use an AI feature, the prompts and related content you submit are sent to OpenAI to generate the response. Apple processes its own sign-in and App Store interactions. External community and App Store links take you to services with their own privacy notices. ## International processing Some providers may process information outside the European Economic Area. The location depends on the provider, service and deployment configuration. Where applicable, international transfers require a lawful transfer mechanism, such as an adequacy decision or appropriate contractual safeguards. Contact us for details about the providers, locations and safeguards relevant to your information. ## How long information is kept We retain information for as long as needed to provide the service, maintain security, resolve disputes and meet applicable legal obligations. Deleting a list or play uses a deletion marker rather than immediately erasing every stored record. Account deletion anonymizes the account profile and revokes authentication, but is not an immediate purge of every coaching record, uploaded object, analytics record or backup. Contact us for erasure of remaining personal information. Retention is assessed by the purpose, sensitivity and applicable legal requirements; local browser data remains until you clear it. ## Your choices and rights Depending on the applicable law, you may request access, correction, erasure, restriction, portability, or object to processing based on legitimate interests. You may withdraw consent where processing relies on consent. Contact us using the email below; we may need proportionate information to verify your identity. You may also complain to the Information Commissioner of the Republic of Slovenia or another competent supervisory authority. We do not use your information for solely automated decisions that produce legal or similarly significant effects. ## Security and your responsibilities We use measures including hashed passwords, authentication and sport-scoped access checks to protect accounts and content. No service can guarantee absolute security. Keep account credentials private and avoid storing unnecessary sensitive information about athletes or other people in coaching notes, images or AI prompts. ## Changes to this policy We may update this policy when the service or its data processing changes.
